Key Qualifications
Experience in extensive client organization dealing with facility coordination, small project management, or real estate.
Understands the business of Real Estate and Facility administration
Self starter, with a flexible ‘can do’ approach

Description
- Partner with EHS to drive safe, compliant facilities operations across the designated discipline.
- Support the Facilities Manager in all aspects of the role encompassing - space audits, Business requests, facility changes for multiple departments.
- Oversee inventory held in any facilities controlled storage areas.
- Oversee the onsite vendors for Janitorial, Landscaping (plus their subcontractors).
- Other operational needs, maintenance, office furniture installation, mail, security cover for out of hours work and environment, health & safety requirements and reception.
- Develop OpEx forecast clearly calling out assumptions and risk. Actively engage with RE&D finance and constantly seek savings and efficiencies; Track change requests with Corporate -Procurement and ensure OpEx includes contract changes. Understand the lease demise- be intentional to outline maintenance requirements.
- Contract manage / coordinate all activities through your service providers. Track contract performance of KPIs. Manage and hold suppliers accountable by supporting the Facilities Manager in supplier weekly, monthly and QBR management systems.
- Use the POR O&M Maintenance Management tool (eg. Tririga) as agreed in your location, provide reports to the RE&D management meetings in your portfolio (if relevant).
- At project level and through contact with business leads, understand the OpEx forecast changes that stem from investment and real estate changes.
- Engage with local authority departments and utilities providers.
- Understand and plan the needs of the business stakeholders.
- Software packages (Israel uses the vendor FM platform MMM)
- CAD working knowledge.
- Build relationship with landlord appointee in leased space.
- Input to CapEx spend proposals.
- Catering services, oversee maintenance contract (if relevant), identify capital spend needs for upgrades & replacements.
- Emergency Response; Be part of the team and organise the requirements etc.
- Be responsible for space accuracy and together with the Facilities Assistant drive Space updates across the business.
- Event coordination within your portfolio (if applicable).
- Move coordination within day to day running of the business (if applicable).
- Reception & mail services support, familiarity with the operation of the mailroom / mail services, the terms of courier contracts and service deliverables (if applicable) Be responsible for space accuracy and together with the Facilities Assistant drive space updates across the business if applicable).
