The role of Executive Assistant to MD is aimed to provide comprehensive support in facilitating the day-to-day performance of the Managing Director whilst undertaking operational /management tasks and maintaining high levels of confidentiality and sensitivity on company information.

The Executive Assistant is also responsible to help the Managing Director maintain control and communication to Sales Team and Customers, and to serve as liaison to other European Management and key individuals internally and externally whilst maintaining the highest degree of professionalism, confidentiality and problem-solving abilities to ensure proper lines of communication. To take initiative as and when needed, especially in the absence of the Managing Director.

Main Duties And Responsibilities
  • Pre-empt the daily and weekly needs of the Managing Director through excellent communication in order to obtain a full understanding of what is required.
  • Co-manage e-mails daily on behalf of the Managing Director.
  • Determine the Managing Director’s movements by remaining alert to current and ongoing ventures.
  • Anticipate the Managing Director’s requirements of returns from sales, customers and internal departments.
  • Co-ordinate and manage extensive travel for the Managing Director as and when needed.
  • Use initiative and vision to help facilitate the smooth administration of the Managing Directors responsibilities.
  • Interface with customers, buyers, Directors, and various external businesses on behalf of the Managing Director.
  • Interface with the Sales team on behalf of the Managing Director.
  • Interface with the country Management Group and help co–ordinate the group, meetings, communication and general control as needed.
  • Interface with all internal departments and people as required to ensure smooth running of day to day tasks and requirements.
  • Interface with various groups including local Management, company-wide domestic/international partners, customers, vendors, legal, and other business partners.
  • Manage and file Corporate Documents, financial records, contracts/agreements, etc.
  • Manage/maintain Managing Director’s calendar schedule, appointments, coordinate extensive travel arrangements, and obtain/organise/assemble agenda items.
  • Arrange/coordinate meetings as required.
  • Minute general meetings as required and complete research on behalf of the Managing Director.
  • Arrange events, speaking engagements, PR/media appearance, conference/tradeshow attendance, entertainment/social functions, subscriptions etc.
  • Respond to, monitor, and follow-up on internal/external inquiries, directives/deliverables, requests for approval, expenditure, and make recommendations.
  • Compose/edit correspondence as may be required, and help develop presentations and other documents.
  • Receive and interact with incoming customers and visitors as and when required.
  • Generate/approve expense reports.
  • Manage confidential and sensitive corporate information around earnings, financial and operations data, business plans, strategy, initiatives, marketing programs, investments, and employee performance/records, etc.
  • Make purchases as and when required.
  • Support the country team with the management and co-ordination of conferences as required.
  • Understand and effectively use the internal reporting systems for self and Managing Director.
  • Co-ordinate travel, accommodation and refreshments for the bi-annual Stock Rooms and Showrooms in liaison with the Travel Coordinator. Source new venues where needed and oversee diaries as required.
Reception & Supervisory Responsibilities
  • Ensure reception and the surrounding area is managed at all times.
  • Ensure reception it is fully stocked, organised and presentable.
  • Development and management of all Reception related roles.
Requisitos
  • Vigilant to issues of compliance and corporate governance policies.
  • Adaptable to changing situations, effectively manage and organise priorities, able to anticipate and take initiative to obtain required details to execute projects, initiatives and administrative tasks.
  • Attention to detail and accuracy, organisational and planning skills.
  • Communication skills, information gathering/monitoring, problem analysis/resolution.
  • Analytical and decision-making ability.
  • Proficient in MS Office Suite, database tools, media applications, Internet, and mobile devices/applications.
  • Flexibility.
  • Native level of English and professional command of Spanish are required. Knowledge of Portuguese would be a plus.
