Office Manager at Elliott James – Marbella
Hey there!
Are you ready for a role where no two days are the same?
Elliott James is on the hunt for adynamic Office Managerto join our team in Marbella.
This role is all about beingproactive, independent, and able to tackle a range of tasks.
You'll need to be a gatekeeper for the CEO, someone he can fully trust, and a go-to person who can keep things running smoothly in our fast-paced real estate world.
What You'll Be Doing
General Admin & Tech Help:Organise meetings, manage office documents, and even assist the CEO with techy things like CRM apps, printer troubleshooting, or laptop support.
Managing Airbnb & Client Relations:From booking to screening clients, you'll handle Airbnb inquiries and customer service across platforms like Idealista, email, and phone.
Financial Admin:(Optional)You'll be in charge of invoicing, payments,and speaking with the accountants on a regular basis to make sure the numbers are in check—Knowledge of the tool Xero is a plus.
CRM & Listings Management:Managing different CRM systems like Asana & Inmobalia.
Oversee listings on platforms like Idealista and Resales.
Plus, you'll track leads and help brokers close deals.
Marketing Support:Work with our Marketing Manager on newsletters and social media input, manage contacts in HubSpot, and even help with a bit of marketing research.
What We're Looking For
We would prefer someone withprevious office management experience.You'll need to be the kind of person who loves to work independently andget things done.We need someone who can do their work with a dash of smiles and fun in between.
It doesn't always have to be serious!
You'll also need to have a strong character and be able to handle the chaotic side of real estate.
This isn't a role for someone who needs a lot of hand-holding.
You'll be the go-to person for the CEO, so a sense of loyalty and trust is key.
And, of course, astrong feeling for the Elliott James brandis essential.
Skills You'll Need
Previous office management experience (preferred)
Ability toprioritise tasksand work independently
Proficiency with CRM systems, Excel, Google docs, and platforms like Airbnb, Dropbox, and Asana)
Strong multitasking and problem-solving skills
Be a steward of and maintain the Elliott James Brand
Confidence with tech: able to help with laptops, printers, and software like Xero
Excellent in English
Optimistic, energetic, and collaborative

Recruitment Chief is partnering with a pioneering tech company driving sustainable cloud solutions from their European hub in Marbella. We're on the hunt for a razor-sharp, resourceful Office Manager to keep the wheels turning, the people smiling, and the office running like a well-oiled (eco-friendly) machine.
This is not your standard front-desk-and-fix-the-printer gig. You'll be a lynchpin in a global team, supporting operations, HR, IT, and leadership to keep everything moving. From vendor wrangling and travel logistics to executive support and event planning—you’ll be the go-to for all things office and ops.
What you’ll be doing:
- Running day-to-day office ops like a pro—stocked, safe, and always a step ahead.
- Supporting global teams with onboarding, logistics, and everything in between.
- Coordinating internal events, team offsites, and seasonal socials (we see you, Summer BBQ).
- Assisting with travel bookings, expense tracking, and vendor management.
- Providing light-touch support to C-levels with diaries, comms, and admin.
What we need from you:
- Solid experience in office or operations management—ideally in a tech, startup, or scale-up setting.
- Fluent in English and Spanish, both written and spoken.
- Super-organised, tech-savvy, and calm under pressure.
- Friendly, unflappable, and a natural culture champion.
Based in Marbella, you'll be in the heart of it all, with occasional travel to other EU offices.
