Tomorrowland is expanding its activities to Ibiza and is looking for an energetic and detail‑oriented Sales & Events Coordinator to support the execution of world‑class events and contribute to our sales operations.
As a Sales & Events Coordinator, you will assist in planning and organizing events, managing client communication, and ensuring seamless execution on-site. You will work closely with the Sales & Event Manager, Tomorrowland HQ, partners, and production teams to help deliver unforgettable experiences aligned with the Tomorrowland brand.
RESPONSIBILITIES:
Event Coordination
- Assist in the planning, organization, and execution of events in Ibiza.
- Support logistical preparations including schedules, vendor coordination, guest lists, and operational documentation.
- Be present on-site during events to handle guest assistance, coordination tasks, and operational follow-up.
- Ensure smooth communication between all involved parties (production, hospitality, venue, and partners).
- Monitor event setups to ensure brand consistency and quality standards.
Sales Support
- Handle inquiries regarding VIP requests, group bookings, and event packages.
- Prepare proposals, presentations, and documentation for potential partners and clients.
- Maintain and update sales databases, contracts, and CRM tools.
- Support follow-up processes with partners, clients, and suppliers.
Communication & Administration
- Act as a point of contact for internal teams, suppliers, and partners regarding event-related matters.
- Support content and briefing flows to ensure all teams have correct and timely information.
- Assist with event reporting, financial follow-up, and guest feedback processing.
Brand Experience
- Uphold Tomorrowland’s brand values and ensure every detail contributes to a magical guest experience.
- Collaborate with creative and production teams to align on the event concept and overall experience.
MUST-HAVES:
- Experience in event coordination, hospitality, nightlife, or entertainment settings.
- Strong organizational and multitasking abilities with a hands-on, proactive mindset.
- Excellent communication skills, both written and verbal.
- Ability to remain calm, professional, and solution‑oriented during busy event operations.
- Strong attention to detail and a passion for delivering exceptional guest experiences.
- Ability to work flexible hours, including evenings and weekends during events.
- Proficiency in English and Spanish
- Experience in a fast-paced international environment is a plus.
