Ventura Yachts Mallorca is currently seeking an experienced and organised Office Manager to join our team at Marina Puerto Portals.


POSITION OVERVIEW


Ventura Yachts Mallorca is seeking an experienced and organised Office Manager to oversee the day-to-day coordination of our office administration and the departments of Sales and After-Sales operations. This is a central, trusted role within the company, requiring strong organizational skills, and close collaboration with management, accounting, sales and technical teams.


KEY RESPONSIBILITIES


Overseeing the day-to-day running of the office and administrative operations

Acting as the main point of coordination between brokerage and maintenance, management.

Managing yacht sales administration, contracts, documentation, and client correspondence

Ordering spare parts for yachts, tracking orders, deliveries, and maintaining stock records

Liaising with engineers, suppliers, marinas, captains, and contractors

Working closely with the accounting team to manage invoicing, budgets, purchase orders, and payments

Managing and maintaining the company’s HubSpot CRM system, ensuring accurate logging of all client enquiries, sales leads, and potential business opportunities

Supporting the brokerage team by ensuring client and sales activity is properly recorded and followed up

Maintaining company records, compliance documentation, and filing systems

Managing the company house in the village, including the accommodation booking calendar for employees

Supporting directors with reporting, organization, and overall operational coordination

SKILLS & EXPERIENCE


• Proven experience as an Office Manager or in an administrative / operations role

• Excellent organisational skills with strong attention to detail

• Ability to manage multiple priorities independently in a fast-paced environment

• Confident and professional Communicator in Spanish, English both in high level both in conversation and written. German and Italian will be valued positively during the selection process.

• Proficient in office systems and paperwork / documentation

• Marine, yachting sales, or luxury service industry experience will be valued positively during the selection process.

Salary: TBC during the selection process
