Job Description
Role Overview
We are seeking a highly motivated, tech-savvy, and detail-oriented Executive Assistant Intern to join our team. This role is a gateway into the heart of our organization. You will operate at the nexus of our leadership team, working closely with EAs who support the company’s key decision-makers. This position offers a unique vantage point into high-level business operations and strategy. You will act as a vital support layer, using both traditional organizational skills and modern AI-driven tools to keep the "engine" of our leadership running at peak performance.
Key Responsibilities
Logistical & Administrative Support
- Team Assistance: Provide day-to-day administrative support to the EA team to ensure high-quality execution across all departments.
- Administrative Tasks: Handle various types of admin tasks such as processing invoices and expenses
- Information Management: Help maintain accurate contact lists, organizational charts, and internal databases.
- Calendar Maintenance: Support the EAs in ensuring addresses, commute times, and dial-in details are accurately reflected in team and leader calendars.
- Logistics Execution: Provide "boots on the ground" support for summits and team-building activities.
- Research: Assist in scouting venues, transportation options, and accommodations that align with cost-efficiency and high standards.
- Documentation: Help prepare concise one-pager summaries and "know before you go" guides for traveling executives.
- On-site Support: Assist with setup during department events.
- Relationship Building: Act as a helpful and professional point of contact for the team’s direct reports.
- Presentation Support: Assist in the basic formatting and preparation of presentations and internal documents.
- Ad-hoc Projects: Support quarterly or half-year projects by helping the EA team track objectives and milestones.
- Leadership Support Development: As you grow in the role, you will eventually provide direct support to C-level executives or Regional General Managers (RGMs) with agenda management and specific ad-hoc requirements.

Requisitos:
- Experiencia sólida y demostrable como Asistente de Dirección o Personal Assistant.
- Inglés imprescindible.
- Castellano fluido; catalán no requerido.
- Idiomas valorables: alemán y chino.
- Dominio de herramientas digitales y ofimáticas; capacidad para preparar presentaciones y gestionar información con precisión.
- Perfil altamente discreto, fiel, responsable y confiable.

What You Will Do
- Partner closely with senior leaders to manage priorities, track actions, and provide clear followups
- Own complex calendar management, ensuring time is used effectively and strategically
- Arrange domestic and international travel with care and attention to detail
- Handle sensitive information with discretion and professionalism
- Support leadership team meetings by preparing agendas, capturing actions, and following up
- Manage expenses and purchasing, including purchase orders and expense reports
- Support onboarding of new leaders by coordinating access, introductions, and early schedules
- Coordinate logistics for meetings, events, and offsites in collaboration with event partners
- Contribute to EA team projects and shared improvements
- Support onboarding of new Executive Assistants as a buddy
- Take part in team engagement and recognition activities
- Share knowledge and best practices to improve how the team works together
- Proven experience supporting senior leaders in a complex, fast-moving organisation
- Strong organisational skills with the ability to manage multiple priorities at once
- High level of independence, ownership, and sound judgement
- A proactive mindset with curiosity and a desire to improve ways of working
- Excellent communication skills and emotional intelligence
- A collaborative team player who builds trust and strong relationships
