We are conducting a search for a experienced Executive Assistant to the Board within a leading group headquartered in Barcelona.

The group operates in +20 countries; and is in a solid growth phase, strengthening its international footprint.

This position requires exceptional discretion, executive maturity and the ability to operate at Board level, ensuring seamless coordination in a highly international and fast-paced environment.


Mission:

Provide high-level, strategic and confidential support to two Board, acting as a trusted partner and ensuring optimal alignment, prioritization and operational efficiency at executive level.


What you will be doing:

a) Executive & Calendar Management

  • Complex and dynamic agenda management across multiple time zones
  • Prioritization and gatekeeping with the ability to set boundaries when needed
  • Coordination of leadership meetings, board meetings and key business reviews
  • Preparation and circulation of meeting notes and follow-ups
  • Handling last-minute requests without compromising strategic priorities

b) Travel & International Coordination

  • Organization of frequent international travel (flights, visas, hotels, ground transportation)
  • Coordination with travel center and external providers
  • Support during board meetings and international market visits
  • Anticipation of logistical risks and proactive problem solving

c) Expenses & Administrative Excellence

  • Travel expense management and reporting
  • Hotel bookings and executive arrangements
  • Interdepartmental coordination for collective meetings and events
  • Close collaboration with other executive assistants (pool model environment)


Profile We Are Looking For:

  • Proven experience supporting two or more senior executives simultaneously
  • Background in structured, international or multinational environments
  • Used to working within an EA pool model (preferred over traditional 1:1 structures)
  • High level of discretion, confidentiality and executive presence
  • Collaborative mindset with strong interdepartmental coordination skills
  • Flexible and solution-oriented, yet confident enough to set boundaries
  • Strong organizational capacity and calm under pressure
  • Excellent command of English and Spanish
  • Advanced Outlook and MS Office skills

We are looking for a professional who understands business rhythm, executive priorities and who can act as a strategic extension of leadership.
