Job Title: Administrative Support / Junior Executive Assistant
Location: Madrid, Spain
Assignment Type: 12-Month Renewable Contract
Working Hours: Part-time – 4 hours per day, 5 days per week (50% workday)
About the Role
We’re seeking a proactive and highly organised Administrative Support professional to join a dynamic international team on a part-time basis. This is a fantastic opportunity for someone looking to gain hands-on experience in a global business environment, supporting senior staff with core administrative functions. You'll play a vital role in keeping things running smoothly — from managing expenses and bookings to day-to-day coordination tasks.
Key Responsibilities
- Process and track invoices, ensuring accurate and timely submissions
- Coordinate travel arrangements, including flights, accommodation, and transport
- Prepare and process expense reports, manage receipts, and support reimbursements
- Handle incoming and outgoing mail and postal activities
- Provide administrative assistance to executives and wider team
- Maintain well-organised records and assist with general office administration
Required Skills & Experience
- Previous experience in an administrative or executive assistant role preferred
- Fluency in English and Spanish (both written and verbal) is essential
- Strong organisational abilities with keen attention to detail
- Capable of multitasking and prioritising effectively in a fast-paced environment
- Confident with Microsoft Office tools (Word, Excel, Outlook)
- Familiarity with travel booking systems is beneficial
- Excellent communication and interpersonal skills
