Role Overview
We are seeking a proactive and detail-oriented Administrative Assistant, Project Support to provide critical administrative and operational support to the General Manager and Project Manager. This role ensures the smooth coordination of project logistics, documentation, invoicing, and internal systems. You will also help maintain project readiness, track equipment and inventory, and support broader administrative functions. You’ll be joining a collaborative and international team in a role that requires adaptability, discretion, and a positive attitude toward continuous learning.
Key Responsibilities
· Assist with the preparation and issue client invoices; follow up on outstanding payments.
· Support the coordination and shipment of materials and equipment to projects; track deliveries as needed.
· Manage work orders, customer documentation, and survey distribution.
· Assist with updates in internal HR and operations documents (e.g., employee handbook).
· Prepare and pack project kits, including PPE, uniforms, gloss readers, and other equipment.
· Assist with providing logistical and documentation support for ITV, cherry pickers, and equipment maintenance.
· Assist the Project Manager and HR with safety courses, certifications, and compliance documentation.
· Track inventory and help schedule equipment maintenance.
· Collaborate with the Logistics Manager to estimate project costs.
· Monitor and reorder office supplies to ensure daily operational readiness.
Requirements
· Previous experience in an administrative, operations, or business support role.
· Strong organisational and time management skills.
· High level of accuracy, attention to detail, and a proactive problem-solving mindset.
· Proficient in Microsoft Office; familiarity with Microsoft Dynamics is a plus.
· Fluent in both English and Spanish (written and spoken).
· Ability to work effectively under pressure in a fast-paced, project-driven environment.
· A flexible and professional approach, with a desire to grow with the company.
