Description and Requirements
Role Value Proposition:
Provide comprehensive support to senior leadership and the Human Resources department in a dynamic, multinational environment. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities efficiently. You will ensure seamless operations by handling administrative tasks, coordinating meetings, and supporting strategic initiatives across executive and HR functions.
Key Responsibilities:
- Executive Support: Deliver day-to-day administrative assistance to executives, including calendar management, appointment scheduling and travel coordination.
- Meeting Coordination: Organize and schedule meetings, conference calls, and events. Prepare agendas, take accurate minutes, and track follow-up actions.
- Document Management: Draft, edit, and distribute reports, presentations, and other business documents. Maintain organized filing systems for critical information.
- Travel & Expense Management: Arrange travel and accommodation and manage expense reporting in compliance with company policies.
- Project Assistance: Support special projects through research, data analysis, and timely execution of deliverables.
- HR Support: Assist the Human Resources department, coordination of HR initiatives, and documentation management as needed.
- Language Skills: Fluent in English; Spanish and/or Portuguese is a plus.
- Business Acumen: Understanding of corporate structures, executive priorities, HR processes, and cross-functional collaboration in a multinational setting.
- Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Outlook, Excel, PowerPoint, Word). Familiarity with virtual collaboration tools (Teams, Zoom) and expense management systems.
- Organizational Skills: Ability to manage complex calendars, prioritize tasks, and meet deadlines.
- Communication Skills: Strong written and verbal communication, with the ability to interact professionally across all levels of the organization.
- Problem-Solving & Adaptability: Resourceful in resolving issues, adaptable to changing priorities, and proactive in anticipating needs.
- Confidentiality & Integrity: Demonstrated ability to handle sensitive information with discretion.
