Qué perfil buscamos

Buscamos a una persona con experiencia demostrable como Executive Assistant o en roles de soporte a nivel C-suite, que disfrute trabajando en entornos rápidos y con alto grado de autonomía.

Valoramos especialmente:

• De 2 a 5 años de experiencia como Executive Assistant o Chief of Staff dando soporte a equipo fundador o partner.
• Muy valorable experiencia en startups, fondos de capital riesgo, aceleradoras o consultoría.
• Dominio de distintas herramientas digitales para organización y gestión de trabajo en equipo. Nosotros trabajamos con: Linkedin, Google Workspace, Slack, Hubspot, Attio, Figma Slides, entre otras.
• Proactividad; rigor y atención al detalle; capacidad de priorizar y resolver situaciones complejas de forma diligente y autónoma; buena capacidad de comunicación.
• Español nativo y inglés avanzado (oral y escrito). Otros idiomas son un plus.
• Disponibilidad puntual para viajar y asistir a eventos.
• Alta discreción y manejo de información confidencial.

Requisitos y capacidades

• Gestión proactiva de la agenda del Managing Partner: priorización, optimización de bloques, coordinación de reuniones y preparación de briefs/packs entregados antes de cada cita.
• Comunicación y triage del inbox: filtrado, respuesta a consultas recurrentes, redacción y edición de comunicaciones externas y escalado organizado cuando proceda.
• Reuniones y seguimiento: toma de actas en reuniones clave y seguimiento de los principales accionables (responsable, plazo, estado).
• Materiales para comités y due diligence: preparación y consolidación de paquetes para IC, consejos de administración y procesos de due diligence (decks, captables, documentos).
• Relación con LPs y roadshows: calendarización de calls, envío de informes, coordinación logística y soporte operativo en roadshows.
• Viajes, eventos y proveedores: organización de itinerarios, reservas, logística onsite, contratación y gestión de proveedores.
• Control presupuestario y conciliación: control de gastos del MD, gestión de facturas y conciliación de gastos.
• Gestión documental y herramientas: mantenimiento de Drive/Notion/Attio (estructura, versionado y accesibilidad) y soporte en automatizaciones básicas.
• Mejora de procesos: creación de templates, checklists y pequeñas automatizaciones para optimizar el día a día.

Executive Assistant

We are seeking an Executive Assistant to provide secretarial and general administrative support to the assigned executive (VP, EVP, SVP) exercising confidentiality, tact and diplomacy.

Key Responsibilities

• Handle Executive’s agenda and ensure that everything is always attainable and that all pertinent issues are dealt within a timely fashion;
• Greet, and accompany visitors, guests, high-level contacts and new comers;
• Receive, screen and direct incoming calls, mail and e-mail;
• Prepare correspondence, reports, presentations, agendas, minutes, status reports, etc.;
• Compile and maintain data (including confidential) for reports and filing;
• Coordinate meeting arrangements, and tracks expenses;
• Arrange business travel and follow-up;
• Approve standard demands / requests within delegated authorities;
• Maintain project and administrative files;
• Check that the office set up is appropriate and that office equipment is properly configured, installed and maintained;
• Maintain necessary office supplies for supervisor/group supported.
  
  

About The Ideal Candidate

• Bachelor’s degree in Business Administration, Communications, or a related field preferred;
• Experience as Personal / Department Assistant in a multinational firm dealing with international travel arrangements;
• Fluency in English, other languages a plus;
• Independence: someone capable of resolving questions and problems, independently, and on the go. Ability to pursue answers with intelligence, energy and determination;
• Ability to understand and resolve travel related complexities independently, such as health requirements, visa requirements, etc.
• Self-order, organizational skills, attention to detail (to facilitate managing multiple requests and changes that happen frequently);
• Ability to network and seek support and engage with other assistants;

One of our long standing clients in Germany is starting a new venture in Spain opening up an office in sunny Valencia! We are very excited to partner exclusively with them to build out their business support team there and seeking experienced team assistants and executive assistants to join their new office!

This is a fantastic opportunity for anyone currently working in professional services to make the move to Spain as English is mandatory, but German and Spanish are preferred also. They have a significant team of executives already out there and you will be joining a growing team while being a part of a global company offering wide range of opportunities for growth.

My client prefers candidates with a background from financial services, private equity, banking or management consulting, but of course the fit is the most important element in the end.

*Please note: We won't be considering any candidates with no existing right to work in Spain.

THE ROLE

• Diary and email management
• Management of calls, actioning as appropriate.
• Arranging internal and external meetings and welcoming of guests.
• Administrative support with the onboarding process and induction of new joiners.
• Expense management and invoicing
• Organizing complex international travel itineraries.
• Covering EA absences during holidays.
• All other ad hoc project and administrative tasks – e.g. post, printing and binding, and archiving as required.

THE CANDIDATE

An ideal candidate for this Executive Assistant role must:

• Have background from professional services, ideally from private equity, finance, law firms etc
• Be a team player and have a can do attitude
• Speak English to a professional level, Spanish is preferred but mandatory for the right candidate
• Have secretarial, organisational and problem-solving skills
• Have professional communication skills
• Approach each task with urgency and have the ability and will to work to deadlines
• Take on ad-hoc projects when required
• Have a right to work in Spain.
