We are currently looking for an HR Personal Administration to join our Human Resources team.
Reporting directly to the HRBP & CSR, the position will play a key role in enabling the effectiveness of the HR function, ensuring operational excellence, strong coordination, and seamless employee experience across HQ.
Role Objective
The HR Personnel Administration is responsible for delivering accurate and efficient HR administrative processes, ensuring high-quality employee support and reliable HR operations.
The role plays a key part in maintaining data accuracy, supporting budget and administrative processes, and contributing to a consistent and seamless employee experience across HQ.
Key Responsibilities
- HR Budget & Financial Coordination
- Maintain and monitor the HR budget, ensuring visibility on actuals vs. forecast
- Support prioritization of initiatives based on budget tracking and analysis
- Manage PR and PO processes in SAP, ensuring accuracy and timely follow-up
- Control invoices, track payments, and resolve discrepancies
- Coordinate with Controlling and budget owners to ensure alignment and proper governance
- Support vendor onboarding and contract administration in SAP Ariba
- Ensure compliance with internal financial processes and approval flows
- Employee Support
- Act as the first point of contact for employee queries, ensuring timely and accurate responses.
- Ensure timely, accurate, and consistent responses
- Manage administrative employee lifecycle processes (certificates, leaves, documentation, onboarding support)
- Coordinate employee benefits administration (meal cards, wellbeing platforms, training requests)
- Maintain HR databases and ensure data accuracy (e.g., Eflex)
- Support internal communication initiatives, including HR newsletters
- Contribute to continuous improvement by streamlining processes and organizing documentation
- Internship Program Coordination
- Manage the internship program end-to-end
- Coordinate with universities, tutors, and hiring managers
- Oversee onboarding and documentation processes
- Ensure consistency and quality of program standards
- Develop and maintain documentation and processes
- Drive efficiency improvements to enhance program effectiveness
- System Maintenance of European Organizational Structures:
- Maintain European organizational data structures in EPICAL and related HR systems, ensuring data accuracy and consistency.
- Review, update, and validate organizational data changes (reporting lines, roles, restructurings) in coordination with local HR teams.
- Ensure alignment and synchronization of organizational structure data across European and local HR systems.
- Act as a key contact for organizational structure queries related to system information and data, supporting HR, HRBPs, and business stakeholders.
- Monitor data quality to ensure ongoing accuracy and consistency of organizational information.

Profile & Experience
- Previous experience in administrative, HR support or similar roles
- Experience in fast-paced, multicultural environments is a plus
- Familiarity with SAP or similar systems is desirable
- Advanced knowledge of MS Office tools (especially Excel)
- Fluent English required
- Strong organizational and coordination skills with high attention to detail
- Excellent communication and stakeholder management abilities
- Proactive mindset with strong problem-solving capabilities
- Ability to manage multiple priorities and work under pressure
- High level of reliability, ownership, and confidentiality
- Collaborative team player with a service-oriented approach
