Role Description

This is role for an Executive Assistant. The Executive Assistant will work with one of our clients, will be responsible for providing executive administrative assistance, managing expense reports, offering executive support, and handling administrative tasks.


The ideal candidate will have outstanding English skills, hands-on experience with accounting tools (especially Holded), and a solid background in office management.

Key Responsibilities

  • Provide executive support to the Managing Director and leadership team in Barcelona & Gemany.
  • Manage schedules, meetings, travel, and daily office operations
  • Handle confidential correspondence and communications in English
  • Oversee accounting tasks: invoicing, expense tracking, bookkeeping, and financial reporting using Holded and other accounting tools
  • Coordinate office supplies, vendor relations, and facility management
  • Assist with event planning, internal communications, and project coordination
  • Act as a key point of contact for internal and external stakeholders and partners.

Requirements

  • Fluent English (written & spoken), with excellent communication skills
  • Proven experience as an executive assistant, office manager, or similar administrative role
  • Hands-on experience with accounting tools—Holded experience is a must
  • Solid background in accounting or finance (invoicing, bookkeeping, expense management)
  • Strong organizational skills and attention to detail
  • Proactive, adaptable, and able to manage multiple priorities
  • Based in Barcelona, with the ability to work on-site. No hybrid mode.

  • Proficient in MS Office and other office management software
  • Ability to work independently and as part of a team
  • Bachelor’s degree in Business Administration or related field is a plus
  • Fluency in Spanish and English; Catalan is a plus.
