Operations & Office Coordinator | Madrid Are you passionate about having everything under control, solving unforeseen events with a smile and being the engine that makes everything work?

At Total Specific Solutions Spain we are looking for our next Operations & Office Coordinator: a versatile, decisive person, with a proactive mentality and a great desire to grow with us.

We are a growing technology company.

We need someone to help us keep up the organizational pace as we continue to expand our business.

We want that "centipede" who enjoys being the glue between people, processes and teams.

What will you do on a daily basis? 1.

Event Management

  • End responsible of our biannual New Hires event.
  • Build from the ground up quarterly online Spanish webinars to enable our companies to share knowledge and best practices.
  • Support the organizer of our annual onsite Spanish Summit.
  • Coordinate internal workshops and seminars to enhance specific skills within teams.

Office Management

  • Central point and Madrid office.
  • Supervise and coordinate the daily running of the office (food, materials, hardware, meeting space, suppliers, maintenance, etc.

).

  • Ensure that the working environment is comfortable, safe, productive and happy.
  • Manage reception of visitors, mail, courier services.

Internal Administrative and operations support

  • Support to Human Resources in tasks such as onboarding, offboarding, coordination of training, team buildings and other welfare initiatives.
  • Agenda Management and travel arrangements of our senior leadership team.
  • Organization of internal meetings, trips and events like Team Buildings.
  • Preparation of reports, presentations or documentation.
  • Coordination of internal processes (communication flow, recurrent tasks, internal tools).

What are we looking for in you? Higher education (FPII) or university education.

Previous experience in administrative, coordination or similar roles.

Good planning, organization and time management skills.Ability to work autonomously and prioritize tasks.High level in office tools (Word, Excel, PowerPoint, Outlook)).Fluent in Spanish and a good level of English.
