DESCRIPTION
We are looking for an EMEA Logistics Specialist to be responsible for the day-to-day import execution involved in order fulfilment including the control of document compliance, arrangement of carriers and documentation accuracy for the company’s inbound shipments from our manufacture in China, consistency and quality of deliveries to our doctors and partners, our EU warehousing services as well as logistics-related projects
The Logistics Specialist will cover the entire EMEA region and assist our doctors and partners to secure the best experience for their patients by delivering consistent and optimized deliveries. S/he will follow the company’s international trade compliance policies, global logistics policy, and quality initiatives in all activities.
RESPONSIBILITIES
- Collaborate with our manufacturing and logistics team in China (headquarters) and ensure that all import documentation is completed accurately, correctly, and presented within the expected time frames to customs in all targeted countries.
- Manage closely with our Headquarter logistics team, all the incoming EMEA B2B orders activity with our 3PL (forwarding agent or freight company) on a daily, weekly, and monthly schedule.
- Provide excellent customer service and monitor shipments to keep our customers and partners promptly advised on entry completion and confirmation of VAT and duty costs (when relevant) as received from customs.
- Advise our Customer Success Team of any imposed local Customs holds that could affect planned delivery for our final customers.
- Communicate to key stakeholders any changes in delivery schedule including new ship dates and what mitigation steps are being taken.
- Partner with and advise Customer Success Team, Sales Team, Logistics Manager, manufacture, distribution partners, freight forwarders and local couriers to ensure on-time delivery.
- Coordinate with the Finance Department to provide timely input on the impact of logistics flows on the intercompany financial flows.
- Participate by providing guidance and sharing experience, in the effort of optimizing the cost-effectiveness of our international shipments.
- Stay up to date on any new laws by setting up compliance surveillance on import and customs rules.
- Supervise the local stock based in France for marketing orders: stock levels, manage communication with suppliers’ operations team, build a contingency plan, monitor forecasts, ensure on time and quality deliveries…
- Analyze and report on EMEA shipping performance and capacity, set up accurate metrics and KPI and present actionable insights.
- Build effective relationships and participate in weekly communications with our headquarters in Asia to improve operations and shipping schedules.
- Work closely with the Director of Business Operations on ad-hoc processes and projects.
REQUIRED SKILLS AND QUALIFICATION
- Previous experience in international logistics (Freight forwarding/customs) is a must have.
- Familiarity with EMEA customs compliance requirements and import documentation.
- Perfect understanding of the Incoterms and their relationships with freight terms.
- Accuracy and attention to detail is crucial.
- Excellent organizational skills.
- Ability to work in full autonomy, on your own initiative.
- Communicate accurately and in a fast paced, teamwork environment.
- Flexibility and adaptability to constantly changing conditions.
- Able to complete tasks with minimal supervision, ability to multitask.
LANGUAGE SKILLS
- Fluent in English
- Advanced/professional knowledge of another EU languages
COMPUTER SKILLS
Excellent with Word, Excel, PowerPoint, and related design software (ADOBE).
Experience in working with business management systems including CRM (Dynamics) and ERP.
