Administrative Specialist – Travel Management
Job Responsibilities:
1. Travel Policy Development & Optimization
- Establish and regularly update company travel policies in response to market changes.
- Collect employee feedback, optimize travel policies and processes, and improve internal efficiency.
2. Travel Arrangements & Bookings
- Assist employees in booking flights, train tickets, hotels, and rental vehicles in compliance with company travel policies.
- Handle unexpected situations such as flight cancellations or itinerary changes and assist employees in adjusting their plans.
3. Expense Management & Payments
- Collect and review supplier invoices to ensure accuracy and authenticity before processing payments.
- Regularly compile and analyze travel expenses, provide relevant reports and improvement suggestions, and optimize travel costs.
4. Vendor Management
- Maintain relationships with travel-related vendors, including travel agencies, hotels, airlines, and car rental companies.
- Conduct regular evaluations of vendor performance to ensure service quality meets company and employee needs.
5. Policy Communication & Employee Support
- Address employee inquiries regarding travel arrangements, reimbursement procedures, etc.
- Promote and communicate travel policies to employees.
6. Other Support Tasks
- Complete other tasks assigned by the supervisor.
Job Requirements:
1. Bachelor's degree or above; experience in travel coordination or administrative work is preferred.
2. Fluent in Chinese and Spanish; English proficiency is a plus, with strong reading, writing, listening, and speaking skills.
3. Proficient in Microsoft Office software.
4. Strong communication skills, a sense of responsibility, and an enthusiastic and approachable personality.
