We are looking for a highly organized and proactive Receptionist-Administrative Assistant to manage our office in Barcelona and support our team in Alicante.

The ideal candidate is a multi-talented professional with excellent communication skills, fluent in English, Catalan, and Spanish.

This role involves being the central point of contact for the office, handling supplier management, administrative tasks, and coordinating travel and reservations for the team and our General Director.

If you are detail-oriented, enjoy ensuring smooth office operations, managing logistics, and being the go-to person for the team, this role is for you!

Key Responsibilities

Manage office suppliers: review office material status, oversee contracts, search for new suppliers, and review contract renewals.

Oversee IT equipment: monitor condition, assign users, request replacements or repairs.

Manage building access: ensure access for visitors, suppliers, managers, and temporary employees.

Oversee office maintenance: review office condition, coordinate repairs, and propose improvements.

Manage office space: adapt employee workspaces and common areas.

Coordinate Barcelona accommodations: liaise with hotels, restaurants, and arrange temporary rentals for employees.

Prepare office expense reports: monthly expenses, forecasts, and proposals for improvements.

Coordinate travel and logistics for board meetings: manage agendas, reservations, and transfers.

Perform other duties as assigned.

Qualifications

Proven experience in a similar administrative or receptionist role.

Strong organizational and time-management skills.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Ability to work independently and handle multiple tasks.

Proactive and positive attitude.

Fluency in Spanish and English.

Nice To Have

Experience in start-ups or coworking environments.

Experience with travel coordination and event planning.

Basic knowledge of accounting or expense reporting.

Familiarity with office management software.

Knowledge of Catalan is a plus.
