Swish Marbella is a leading luxury short-term rental brand with a curated portfolio of high-end villas and apartments. We are seeking an聽Operations Coordinator聽to ensure our homes are consistently guest-ready and maintained to the highest standards.
馃攽 Role Purpose
The Operations Coordinator will oversee inspections, maintenance, and guest satisfaction processes, acting as the link between property owners, service providers, and the guest experience team.
馃彙 Core Responsibilities
Property Management & Inspections
鉁旓笍 Conduct regular property checks (pre-arrival, mid-stay, post-stay)
鉁旓笍 Identify and resolve maintenance, safety, or presentation issues
鉁旓笍 Guarantee that every home meets Swish鈥檚 luxury brand standards
Maintenance & Repairs
鉁旓笍 Manage preventive maintenance schedules (AC, pool, gardens, appliances)
鉁旓笍 Coordinate contractors and suppliers, ensuring quality and timeliness
鉁旓笍 Keep accurate maintenance logs and handle urgent repairs swiftly
Housekeeping & Logistics
鉁旓笍 Oversee housekeeping schedules and turnovers
鉁旓笍 Ensure immaculate cleaning, linen, and presentation standards
鉁旓笍 Liaise with cleaning and laundry teams to meet tight deadlines
Guest Experience
鉁旓笍 Ensure properties exceed expectations on arrival
鉁旓笍 Act as operational support for any in-stay issues
鉁旓笍 Monitor guest feedback to continuously improve standards
Damage & Inventory Management
鉁旓笍 Conduct check-in/out inspections and manage damages
鉁旓笍 Track and replenish consumables and luxury amenities
Operational Systems & Processes
鉁旓笍 Create SOPs, workflows, and checklists for efficiency
鉁旓笍 Update PMS/CRM with operational data and reports
鉁旓笍 Ensure compliance with safety regulations and brand standards
Supplier & Contractor Management
鉁旓笍 Maintain strong vendor relationships (maintenance, linens, pool, gardens)
鉁旓笍 Negotiate rates and service agreements to ensure quality and cost efficiency
Reporting & Continuous Improvement
鉁旓笍 Deliver regular reports on property condition, spend, and guest feedback
鉁旓笍 Suggest improvements to streamline operations and enhance satisfaction
馃幆 Skills & Experience
- Proven experience in hospitality operations, property management, or luxury STR
- Strong organizational skills and attention to detail
- Experience managing housekeeping, maintenance, and suppliers
- Proactive, solution-oriented, and calm under pressure
- Excellent communication in English (Spanish desirable)
- Driving license and flexibility to travel between properties in Marbella
