- Being the main point of contact on reception including meeting and greeting all visitors.
- Answering the mainline phone number and directing calls accordingly.
- Maintaining and organising over meeting rooms, which includes meeting room checks, prepping meeting rooms and organising lunch deliveries for various meetings.
- Working with all levels of staff and across departments to ensure the smooth running of the offices.
- Working with the Office Manager to help maintain the office environment, supporting, identifying and organising repairs/maintenance/cleaning etc.
- Administrative support for wider office teams.
- Coordinating deliveries and post for all departments.
- Support in the organisation of company events e.g. Social activities (monthly socials and company-wide lunches), large group meetings, celebrations etc.
- Extensive managing of calendars via Outlook, including scheduling appointments with internal and external participants and organising large company wide meetings.
- Organisation and administration of meetings & visitors – coordinating all logistics i.e. attendees, timings, refreshments, equipment, and room bookings
- Booking and coordinating travel plans; this will include flights, hotels, trains, taxis, car hire, visas etc.
- Managing expenses and timesheets.
- Minute taken and follow-up actions.
- Helping arrange ad hoc events.
- Support with PowerPoint presentations and ad hoc projects.
- Support in any ad-hoc tasks asked by the Executive.
- Supporting and working with the EA team with general day to day duties and providing cover when needed.
- Proficient English and Spanish level.
- Strong Outlook 365 knowledge.
- Proactive with effective communication skills
- Exceptional multi-tasking and prioritising abilities to meet deadlines.
- Flexibility to manage change and adapt quickly, we are looking for somebody flexible, keen to wear multiple hats – “no job is too small” kind of attitude.
- Ability to deal with confidential information.
- Highly organised and have a very strong attention to detail.
- Confidence in building strong relationships with senior members of the team.
