Itinerary Coordinator - UNBOX SPAIN & PORTUGAL
Unbox Spain & Portugal is a boutique luxury travel DMC that specializes in experiential and cultural trips throughout Spain and Portugal for the discerning high-end traveler. We cater almost exclusively to the US market.
We pride ourselves on offering access to some of the most interesting places and faces in the country, working with the very top hotels, the best guides and other unique expert collaborators.
Boasting a well-established reputation for excellence in the travel industry, as we grow our team we are looking for an experienced, talented, enthusiastic, and proactive Itinerary Coordinator to join our team in Madrid and assist with our Spain & Portugal operation. Candidates must be able to work legally in Spain and must be based in Madrid. We have a hybrid scheme where you will be working from an office and remotely from home.
As Itinerary Coordinator you will:
- Work hand in hand with a Travel Consultant in the team, by assisting with all operations and coordination of trips from quote to confirmation, customer service, on the ground support and follow up.
- Communicate with our suppliers all around Spain & Portugal to ensure we always provide services in line with our company guidelines.
- Take ownership of quotes, ensure that all data is correct and ensure we are always offering our clients quality and value.
- Confirm hotels, tours, activities, experiences, transportation and other travel and concierge services.
- Maintain accurate and up-to-date information on all confirmed services.
- Finalize detailed itineraries, ensuring all information and documentation is correct and presented in our voice.
- Assist in other back-up tasks as required.
- Possibly in the future, take charge of the company emergency phone number on a rotational basis.
What you need:
- A love of travel and cultural curiosity.
- Proven ability to show creativity, imagination, resourcefulness, and initiative in trip planning.
- An appreciation of the detail and minutiae involved with all trip planning.
- Show a real talent for understanding people, solving problems, finding new solutions if/when required, and making smart, quick, and improvised decisions.
- Show you can listen, communicate clearly, develop relationships, establishing credibility and trust.
- Show competence, composure and reliability when working on trip costs.
- A willingness to work hard, support the team and be an example to others around you.
You have:
- Excellent verbal and written communication skills in both English and Spanish, as you will liaise with partners and high-end clients alike.
- Good knowledge of Office package.
- A hawkish attention to detail.
- An energetic and proactive attitude – you love to find and present solutions.
- Strong team player that also thrives with autonomy.
- A professional track record in hospitality, events, travel or similar.
- A love for excellent service and exceeding expectations. Nothing gives you more satisfaction than to “wow” someone with the highest standards.
- A desire to build a career in travel – a career progression plan will be offered to the right candidates.
