Position: IMS & Operations Coordinator
Based in: Madrid, Spain (Hybrid)
 
The selected professional will act as the bridge between X-ELIO's Integrated Management System and Operations, making sure HSSE and quality standards work in the field across our international offices, contractors and newly integrated companies. This role leads the internal technical audit program, the HSSE side of contractor prequalification, and the integration of ECO STOR and X-Noor into our corporate management systems.
 
 
What will you do?

•  IMS and Operations link: Act as the main connection between the Integrated Management System and Operations, making sure IMS requirements are applied and maintained in daily operating activities and that field experience feeds back into system improvements.
• Change management: Assess the impact of organizational, technological and regulatory changes on the IMS, take part in reviewing policies, procedures and standards when new operating methods are introduced, and keep documentation aligned with how the business really operates.
• Standardization: Promote consistent practices and methodologies across all business units.
• Integration of affiliated companies: Define and lead the integration of ECO STOR and X-Noor into X-ELIO corporate management systems, assessing their alignment with corporate policies and standards, building gap closure plans and tracking them through, while balancing corporate integration with each business's specific needs.
• Contractor HSSE prequalification: Ensure new contractors are evaluated on HSSE during prequalification and that their systems are aligned with X-ELIO's, taking part with the HSSE Regional Manager in technical clarification meetings before contract award.
• Contractor performance: Follow up on action plans from contractor evaluations and monitor HSSE performance during execution, providing feedback to Procurement and Operations.
•  Internal technical audits: Build the annual internal technical audit program (outside ISO certification audits), coordinate national and international audits, and manage the internal audit team and audit plan.
• Action plans and nonconformities: Track ongoing action plans from audits and incidents, oversee the closure of nonconformities and deviations, and analyze audit trends and results.
• International offices: Serve as the point of contact for X-ELIO's international offices to align criteria where legally possible, support local implementation of the management system, and verify legal compliance.

 
What do we need?

• Education: Degree in Engineering with a master's degree in Occupational Risk Prevention (Prevención de Riesgos Laborales).
• Standards: Specific training in Integrated Management Systems and auditing, with proven knowledge of ISO 9001, ISO 14001 and ISO 45001.
• Experience: At least 5 years in integrated management systems, HSSE, quality, operations or continuous improvement, ideally in renewable energy, energy storage, construction, infrastructure or industrial environments.
• Hands on IMS: Practical experience implementing, maintaining and improving management systems within operating environments.
• Audits: Proven experience planning, coordinating or leading internal audits, including follow up of action plans, deviations and nonconformities.
• Methodologies: Solid command of risk assessment, root cause analysis, change management, nonconformity management and action plan closure.
• Contractor management: Knowledge of contractor prequalification, evaluation and follow up processes from an HSSE perspective.
• Regulatory translation: Ability to turn legal, regulatory and corporate requirements into practical operating procedures.
• Analytics: Ability to analyze trends, KPIs and results from audits, incidents and performance assessments. Advanced Microsoft 365 skills, especially Excel, PowerPoint, Word, Teams and SharePoint.
• International scope: Experience working in international environments or across different business units, adapting corporate standards to local legal requirements.
• Languages: Advanced English (C1) is essential to lead international meetings. Fluent Spanish. Other relevant languages are a plus.
• Skills: Strong cross functional coordination with IMS, Operations, HSSE and Procurement, ability to influence without formal authority, sound judgment and autonomy to prioritize risks, and a results focus on closing deviations and corrective actions.
• Availability: Willingness to travel nationally and internationally and to work with teams across countries and time zones.
