Join our team as a Port Operations Agent where you are expected to independently oversee agency vessel operations for the port call. About The Job
- Act as a primary liaison between Cruise Line, port authorities and other stakeholders to ensure the smooth and efficient handling and processing of vessel operations for their port of calls. Ensuring to meet operational demands carrying out accordingly to protocols and policies set forth.
- Coordinate vessel arrival/departures and berthing arrangements with port authority, terminal operators, security, government entities and maritime service providers.
- Attend, monitor and respond to email requests within a timely manner from various regional email accounts.
- Facilitate vessel entry/clearance procedures, including customs, immigration, health formalities to ensure compliance with regulatory requirements. Utilize the different systems for all vessel entry/departure requirements.
- Work in close collaboration with suppliers to ensure we deliver safe, healthy, and sustainable service.
- Solve day-to-day issues and propose improvements to workflow to Manager, to enhance productivity and efficiency in port operations.
- Monitor vessel movements, port, and weather conditions to anticipate operational challenges and minimize disruptions and effectively communicate to all parties involved.
- Compile and submit appropriate updates throughout the day for vessel operator and Cruise Line’s corporate managers; complete appropriate sail reports as required by each line.
- Complete each respective sailing documents required for invoicing/billing within acceptable time frame and ensure all back up documentation has been in saved appropriately.
- Actively participate in conference calls with vessels and/or cruise lines when needed.
- Forward any vessel/ship packages/mail, medical luggage or lost and found items/ mail as requested by line at the end of the day and notify relevant parties of tracking info and costs. Provide lost luggage assistance.
- Coordinate/provide appropriate medical assistance & provide follow up/updates for any medical disembarked crew or guest to respective persons/departments for each cruise line.
- Excellent communication skills in English and Spanish language, both written and oral.
- Must have a valid drivers' license and car.
- Good academic background. Maritime studies are desirable.
- Preferred previous experience as a Port Agent.
- Problem solving and analytical skills.
- Good office administration and organizational skills with a keen eye for attention to detail.
- Knowledge of Microsoft Office programs.

Being an Ops at Alan means joining a team of 50+ talented, committed and passionate Ops across our countries, with a lot of interactions with Engineering, Product, Care and many other teams at Alan.
We have a mix of Builder profiles, focused on (re)designing and implementing our processes and Operations Coordinators who deliver those on a daily basis while improving them.
We want team members to deliver excellence to our companies and members and be ready to disrupt (and not only upgrade) the way we traditionally think about insurance or healthcare services.
🌍 For this role, you need to be based in France, Belgium or Spain 🌍
The Operations Coordinator works on a specific subset of services we deliver (eg. claim reimbursement, fraud, clinic to name a few) .
Their core responsibilities (+- 70/80% of the time) are to:
- Run our Insurance or Health services processes - that's why we call them Ops Runners internally 😉
- Ensure the day-to-day follow up and monitoring of our operations
- Flag risks and opportunities
- Operating our processes: performing tasks like invoicing or claims treatment, growing and managing our network of providers, supporting internal teams (live and through documentation)
- Contributing to the definition & owning the best monitoring scheme to track volumes/efficiency/SLAs, and identify risks and areas of improvement, internally or with our service providers
- Supervising partnerships (e.g. teleconsultation, claim operators), participating in the negotiation rounds, daily communication to ensure business continuity
- Performing controls on our daily operations to make sure the correct decisions were made and to identify training needs (internally as well as externally)
- Escalating feedback, helping to prioritise and supporting initiatives to make our processes and services more delightful and efficient
⭐️ Our Run organisation ⭐️
Responsibilities
Our Operations Coordinators or Ops Runners are organized in pools (3-7 runners) who are collectively responsible for running their scope. Examples of topics are:
Alan therapy: members can book a therapy session with psychologists. You maintain smooth relationships with our psychologists, ensure therapy demand matches the supply and contribute to several steps of their lifecycle at Alan (hiring, onboarding, invoicing, supporting booking management etc).
Claims: We provide a best-in-class claims experience, including our own optic care service. You treat claims and assist in decisions regarding our coverage. Additionally, you monitor the performance of external service providers to meet SLAs & perform quality controls. You ensure glasses get delivered on time, member satisfaction is high, our frame collection is attractive, collaboration with opticians is smooth and efficient, ….
Fraud: We run checks on claims submitted by our members, and build new ways of preventing fraud attempts. You investigate suspicious claims, prevent fraudulent payments or recover when we paid fraudulent claims.
Set up: We provide best-in-class experience to our Customers : a smooth on/offboarding of their employees and a seamless invoicing or billing. To do so, we continuously control & improve the quality of our processes : ensuring we have consistent information for invoicing, unlocking employee invite/removals in case of issue and supporting admin in case of payment issue or bankruptcy.
Note: We look for profiles able to embrace any challenge and jump in any pool ! Depending on Alan needs (and personal interests), an Operations Coordinator will join in a pool and can change and explore new scopes after some time. Do not hesitate to ask more concrete examples to the Operations Team Members you’ll meet during the process so they can share about their own scope.

- Worked in Support functions (Customer Support, People Operations etc)

Position Summary.

Our Operations Practice assists our clients in solving complex operational challenges. Blending strategic thinking with hands-on practicality, our teams of consultants and experts work to develop and implement operational strategies that solve our clients’ most pressing problems.
McKinsey’s Service Operations service line is part of our Operations Practice. It helps clients create and execute service strategies that lead to competitive advantage, an improved customer experience, higher effectiveness and quality of work, and measurable bottom-line impact.
The service areas we work in range from end-customer services (e.g., call centers and field services) to internal back-office operations (e.g., in IT, HR, and Finance). Your Impact
You will play an active role in problem-solving for clients, including identifying issues, forming hypotheses, designing and conducting analyses, and synthesizing conclusions into recommendations.
You will shape clients’ digital agendas and lead them toward next-generation operational models—digitally transforming end-to-end journeys using advanced analytics, intelligent automation, GenAI, and agile methodologies in service-oriented industries. Additionally, you will assist our client teams in developing strategies and technology roadmaps for implementing processes and operating systems that support applications connected to digital service operations.
As part of your role, you will help clients imagine and implement the future of service delivery—where AI, GenAI, and agentic technologies are reshaping how services are designed, delivered, and scaled.
You will work with cross-functional teams to explore AI-native operating models, integrate intelligent agents into service ecosystems, and help client’s future-proof their service strategies by embedding emerging technologies across front- and back-office operations.
While hands-on experience in these areas is a plus, what matters most is your ability to think ahead, connect technology to business outcomes, and inspire bold change.

Along with other members of the OEP community, you will dedicate many days to functional training and knowledge development under the leadership of our operations experts. Upon completion of the program, successful consultants will join our global group of leading experts in operational excellence. We already have OEP graduates working at all levels of the firm from associate to partner.

Your Qualifications and Skills
- Master’s degree and exceptional academic performance
- Initial experience or strong interest in AI-powered service innovation, including digital solutions, robotics, and emerging technologies such as Generative AI, intelligent agents, and AI-native service models—ideally in banking, insurance, software, or consulting contexts
- Proven record of leadership in a work setting and/or through extracurricular activities
- Mobility and enthusiasm for taking on European assignments during the work week
- Exceptional analytical and quantitative problem-solving skills
- Ability to communicate complex ideas effectively, both verbally and in writing, in English and local office language

We are looking for an Operations Junior Analyst, with excellent data & analytical skills to join our Operations Team in Madrid. The ideal candidate should meet the following requirements:
1. Main responsibilities
Support senior management in the supervision and execution of operative procedures Analysis, Review, and Transformation.
Identify areas of improvement through the deductive analysis of KPIs, and other operative reports
Prepare presentation materials for the various areas and projects under the scope of the operations team .
Liaise with external parties, suppliers and inhouse teams.
Participate in project management in Spain, EU and Latam.
2. Requirements
Excellent analytical, presentation and communication skills.
2 years of professional experience in highly analytical functions will be a plus.
