The Clinical Project Assistant will provide comprehensive operational and administrative support to ensure effective coordination of meetings, information flow, and timelines across the group's activities. Responsibilities include organizing project meetings and events, supporting data collection for reporting and budgeting, contributing to grant application preparation, monitoring project timelines, supporting financial follow-up, maintaining project documentation, and assisting with basic software management tasks. Additionally, the coordinator will facilitate the integration of new technologies and tools, organize related training sessions, and support access to relevant scientific information to ensure smooth project execution across multiple initiatives.
Responsibilities:
- Meeting and Event Coordination: Organize and coordinate technical and strategic project meetings, workshops, training sessions, and other events.
- Information Collection and Reporting: Gather data from team members, prepare reports for departments and stakeholders.
- Grant Applications and Funding: Assist in preparing and submitting grant applications, ensuring all project details are accurate and deadlines are met.
- Financial Tracking and Budget Monitoring: Track project budgets, ensure expenditures are within limits, and communicate budget status with the financial controller. Collaborate on budget forecasts.
- Project Timeline Coordination: Monitor project timelines, identify critical periods, and allocate resources accordingly.
- Software Maintenance and Support: Oversee user management, client maintenance, and resolve basic software issues related to medical diagnostic software.
- Document Management: Ensure project documentation, reports, and presentations meet project standards.
- Support for New Technologies: Identify and integrate new tools and technologies, organize training sessions, and facilitate access to scientific information.
Requirements and Personal Skills:
- Education: Bachelor's degree in a relevant field or equivalent work experience.
- Languages: Fluent in Spanish and English; proficiency in additional languages is a plus.
- Experience: Previous experience in project coordination or administrative support roles is advantageous.
- Personal Skills: Strong attention to detail, excellent interpersonal skills, adaptability, eagerness to learn, and the ability to manage multiple projects simultaneously and prioritize tasks effectively.
