Coordination Specialist (Marketing & Events)
Summary Of The Role
The Coordination Specialist , is responsible for managing the logistics and execution of events, including industry conferences, customer hosted events and customer-sponsored activities. .This role also supports key financial processes, including purchase orders, procurement, and monthly reconciliation in collaboration with Finance, ensuring timely communication and updates to stakeholders. In addition, the Specialist coordinates association memberships and partnership affiliations to maximize exposure and reach.
Events Coordination
The department’s main responsibilities include:
Coordinate logistics and execution for industry events, customer-sponsored activities, and regional campaigns to ensure seamless delivery and strong brand presence.
Finance & Procurement Support
Support finance processes related to marketing and event budget, by managing purchase orders, vendor coordination, and monthly reconciliation, ensuring accuracy and timely updates to stakeholders.
Memberships And Partnerships
Coordinate Membership and Partnership affiliations across regions to ensure maximum exposure and reach for campaign activities.
Facilitate alignment of global Amadeus organization and Commercial Team engagement with events, committees and workgroups to expand Amadeus reach into member/partner organizations
About The Ideal Candidate
- Bachelor’s degree in Communications, Business Administration, or a related field.
- Experience working with financial processes such as purchase orders and vendor management is a plus.
- Strong organizational and project management skills with attention to detail.
- Excellent communication and interpersonal abilities to engage with internal and external stakeholders.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite; familiarity with procurement systems is an advantage.
- Problem-solving and adaptability.
- Collaboration and teamwork across global and regional teams.
- Ability to work independently while maintaining alignment with broader organizational goals.
- Fluency in English is a must-have; other languages are a plus.
