Job Summary:
To plan, coordinate, and manage the delivery of WSAVA’s strategic projects and large-scale activities, including flagship initiatives such as the WSAVA Annual Congress. The Project Manager ensures projects are delivered on time, within scope, and aligned with WSAVA’s strategic priorities, working collaboratively with internal teams, volunteers, partners, and external suppliers.
Responsibilities:
The Project Manager plays a central role in turning WSAVA’s strategic priorities into well-managed, deliverable projects. The role reports to the Chief Partnerships Officer, with indirect reporting lines to the sponsor(s) of each project, reflecting WSAVA’s matrix working approach. Working across multiple initiatives at different stages, the role includes the following key activities:
- Planning and managing the delivery of both short-term and long-term WSAVA projects, from initiation through to completion- Developing and maintaining detailed project plans, timelines, work plans, and milestones in line with agreed objectives and strategic priorities- Coordinating and managing large-scale WSAVA activities, including oversight of congress and major events delivered in partnership with external providers (e.g. Professional Congress Organisers)
- Managing project governance, including progress tracking, risk identification, issue management, and regular status reporting to project sponsors and stakeholders
- Coordinating input from multiple stakeholders, including Secretariat colleagues, Executive Board members, committees, partners, suppliers, and contractors
- Managing and overseeing external suppliers and service providers to ensure agreed outputs, timelines, and quality standards are met
- Supporting project sponsors and senior leaders by preparing updates, papers, and recommendations related to projects in development or delivery
- Ensuring effective communication and collaboration across all parties involved in each project
- Supporting quality assurance by ensuring project outputs align with WSAVA principles, standards, and expectations
- Working closely with other members of the Secretariat to ensure projects are integrated with wider organisational activity and capacity
- Capturing lessons learned and supporting continuous improvement across WSAVA’s project management practices- Compliance with all WSAVA policy and processes
- Other tasks and activities which may be reasonably expected of the role
Requirements & Experience:
Essential Criteria
- Excellent written and verbal communication skills in English
- Educated to degree level or with equivalent relevant work experience. A project management qualification is highly desirable.
- Experience working in a project management role, ideally within a nonprofit, membership organisation, or event-led environment
- Demonstrated experience planning, coordinating, and delivering complex projects with multiple stakeholders- Strong timeline planning and organisational skills, with the ability to manage multiple projects simultaneously
- Proven ability to work effectively within international and cross-cultural teams
- Strong problem-solving skills and the ability to adapt plans in response to changing priorities or risks
- Confidence working independently, proactively, and with good judgment
- Strong interpersonal skills and the ability to build effective working relationships with a wide range of stakeholders
- Good working knowledge of digital tools for project planning, documentation, and reporting (e.g. Microsoft Office or equivalent)
- A genuine passion for companion animals and an appreciation for the work of veterinary professionals globally.- Willingness to adapt to changing priorities, manage multiple work streams simultaneously, and work across multiple time zones.Desirable Criteria
- Experience in delivering / project managing large-scale conferences or live events, including working with external delivery partners
- Experience working within the veterinary, animal health, or healthcare sectors
- Experience managing education or professional development projects (online and/or in-person)
- Experience working in a remote or hybrid international working environment- Ability to speak/write in a second language
