Job title: Project Coordinator & EA
Reports to: Managing Director
NOTE: This role spans multiple companies and countries. It can be fully remote or hybrid. It is a benefit if you speak other languages alongside English.
NOTE: Candidates must have previous experience as EA and within project management of digital projects.

How will you fit into the bigger picture?
This is an exciting new role in a startup environment, working closely with the founder and Managing Director (MD) and management on ad-hoc projects while providing EA support.
The Project Coordinator & EA will come in to help execute on new projects and strategies, both long and short term. Liaising with operational, marketing and other teams to 'get the job done' as efficiently and smoothly as possible along set timelines. Business areas include, but will not always be limited to
- Online auctions
- Direct to consumer E-commerce retail
- Investment sales
- Digitising collectibles & gold
- Global mobility
Responsibilities
o supporting MD and management on ad-hoc projects.
o liaising with specialists, designers and content creators.
o meeting specific project timelines
o improving communication across teams (legal, marketing, sales, etc.)
o problem solving with MD and management support
o removing blockers
Supporting MD and management on outreach
o draft copy of email templates
o utilising online tools to message potential investors, partners, influencers, thought leaders on LinkedIn and other social media (with input from MD and/or marketing staff)
o research and contact influencers (social media, blogs, thought leaders, etc.)
o research support as directed by MD and management
o outreach to various companies/individuals to develop business and schedule meetings with MD
Market research
o potential investors/companies (using tools such as Beaufort, Dealroom, Crunchbase, etc.)
o presentations/pitch deck support for MD, Group board and sales/marketing
o Creating presentation PowerPoint templates for ongoing use
o Liaising with design and content creators
Event organising supporting MD and sales team
o Liaising with participants and speakers, sending out reminders etc.
o General event logistics (travel, food, drinks, entertainment etc.)
Arranging and attending Board and Committee Meetings, overseeing the co-ordination, taking minutes of meetings and recording and monitoring actions
Email & calendar management
o 4 email inboxes for MD
o Sorting emails into folders as per existing system
o Actioning and executing emails, liaising with MD to help in the process
o Highlighting urgent issues by reaching out to MD by phone
o Calendar management for MD
o Including managing personal commitments for MD in calendar, for example family birthdays etc.
o Liaising with relevant parties to schedule, organise and plan business and personal events and travel.
Social media and marketing management
o Posting social media posts generated in liaison with MD and/or marketing staff
o Highlighting and responding to incoming messages and reactions to posts
o Managing Hootsuite account
o Liaising with Marketing staff and agencies as required
Candidate Requirements:
- Attention to detail and drive for perfection.
- Track record in digital products and sales.
- Experience working with high value or luxury goods.
- Proven working experience in EA and project coordinator roles.
- Excellent client facing and internal communication skills.
- Exceptional problem-solving skills.
- Excellent organisation and time management skills, with the ability to prioritise workload and delegate effectively.
- Ability to multi-task - manage day to day tasks as well as additional projects and ad hoc requests remaining calm and focussed in a high-pressure environment.
- Ability to adapt to sudden changes while remaining calm and resourceful.
- Good knowledge of customer service and sales.
- Enthusiasm to work in a fast-paced and highly ambitious company.
- Demonstrates a strong work ethic and committed to seeing tasks through to completion.
