How can you become part of our success?

Performance of tasks that, even having certain technical knowledge, will need some level of supervision from qualified colleagues with a higher level of experience and expertise. Manage and organize the administrative tasks. Direct report to the Head of General Administration.

  • Administration and management of all office matters in all offices.
  • Responsible for the necessary equipment (suppliers, consumable, etc.) for employees.
  • Assistance with event organization.
  • Make sure that Office Management procedures are followed.
  • Make sure all necessary steps regarding security are taken during on/off boarding of employees.
  • Member of the company’s emergency evacuation team.
  • Management of purchasing necessary for proper supply of the site (supplies, consumables, etc.).
  • Ensure quality of cost allocation in relation to the R&D center with Controlling department.
  • Track supplier invoices from receipt to payment, manage potential delivery and billing issues.
  • Management and control of not received invoices for monthly, half-yearly and annual closings.
  • Handling administrative orders and requests from managers across the R&D.
  • Preparation of documentation and coordination of shipments within and outside Spain.
  • Support on Logistics related task, distribution of pallets, uploading, special shipments management.
  • Assets management into ERP.
  • Coordination of daily transport between R&D Paterna and Production site Motilla. Ensure documentation is ready and ERP management.
  • CONCUR Management. Training of new employees for CONCUR requests, support of employees within process, doubts or issues related to their requests. Coordination with Finance to achieve on time employees payment of travel expenses.

What skills do you need?

  • Good Microsoft Office skills (Word, Excel, PowerPoint)
  • SAP ERP knowledge is an asset.
  • Excellent organization skills
  • Customer service attitude
  • Proven work experience as a Recepcionist, Front Office Representative or similar role.
